Final-submission preflight for federal proposals

Catch the mistake that would have gotten your proposal disqualified.

ProposalQA checks the exact final package you're about to submit against the solicitation. It hands back evidence, not a guess.

Technical Volume exceeds the stated page limit

Rule
Section L.5.2 states the Technical Volume may not exceed 30 pages (p. 73).
Detected
Technical_Volume.pdf contains 32 pages under the configured counting method.

High

Findings cite the source page, the exact rule, and what was detected. No decorative score, just evidence. ProposalQA is a quality-assurance aid: it reports no blockers detected or needs review, never fully compliant or guaranteed compliant.

The problem

Proposal teams spend weeks on a response — and still submit an avoidable mistake

  • Wrong page count on a volume with a hard limit
  • A required attachment missing from the final ZIP
  • An instruction that changed in an amendment but never got applied
  • A requirement the proposal never actually addresses

ProposalQA doesn't write your proposal or maintain a compliance matrix. It answers a narrower question: what could be wrong with the exact files you're about to submit?

Coverage

What ProposalQA checks

01

Package completeness

Required files, attachments, and volumes are present.

02

Format rules

Page limits, page size, fonts, and margins are checked automatically. Copy count is flagged for manual review, since a digital ZIP can't confirm physical copies.

03

Amendment tracking

Added, changed, and deleted requirements resolved with precedence and conflict handling.

04

Requirement coverage

Whether the proposal actually addresses each requirement.

05

Cross-document consistency

Solicitation number, company identity, and key-person roles checked across volumes.

Process

How it works

  1. 1.Upload the solicitation and any amendments
  2. 2.Review the extracted submission rules, with source citations
  3. 3.Upload the exact final package you're about to submit
  4. 4.Run preflight and review evidence-backed findings
  5. 5.Fix what needs fixing, then rerun before you submit

One preflight is one completed analysis of one final package. A failed system attempt or an automatic retry doesn't use one — only a successful run does. Uploading a corrected package and running it again counts as a new preflight. Subscription preflights reset each billing period and don't roll over; once a period's preflights are used, you can still buy a one-off preflight. See a sample report.

Trust

Built for U.S. federal proposals

  • Your files stay private — never publicly accessible, isolated per workspace
  • We don't train AI models on your data
  • U.S. federal solicitations only — not built for CUI, classified, or ITAR-controlled material
Limitations

What ProposalQA doesn't check

  • No guarantee of compliance or contract award
  • Doesn't evaluate writing quality or persuasiveness
  • Limited verification on scanned or non-searchable pages
  • Some formatting requirements may still need manual review
  • Portal-specific or external submission conditions may not be independently verifiable
  • Prohibited data (CUI, classified, ITAR-controlled) must not be uploaded — the system doesn't verify this for you
FAQ

Frequently asked questions

What counts as one preflight?

One completed analysis of one final package. A failed system attempt or an automatic retry doesn't use a preflight — only a successful run does.

Can I rerun after making corrections?

Yes. Uploading a corrected package and running it again counts as a new preflight, whether you're paying per run or drawing from a subscription.

Does this guarantee my proposal is compliant?

No — it's a quality-assurance aid. It reports no blockers detected or needs review, never fully compliant or guaranteed.

What if ProposalQA misses something?

Treat it as a second set of eyes, not a substitute for your own review. Findings are evidence-backed, but coverage isn't exhaustive, so a final human read-through still matters.

What happens with scanned or image-only PDFs?

Pages that aren't searchable text can't be checked for content. Your report tells you how many pages were affected — run them through OCR first for full coverage.

Can I upload CUI, classified, ITAR-controlled, or other prohibited information?

No. ProposalQA is built for U.S. federal solicitations only and doesn't support CUI, classified, ITAR-controlled, or export-controlled material.

What happens to my files?

They're stored privately and never publicly accessible. Delete a document or package anytime from your dashboard, and free-tool submissions are removed automatically within 48 hours. See our Privacy Policy for details.

Is my data used to train AI models?

No, never.

Does this work for state or local (SLED) government proposals?

Not yet — federal only at launch.

I don't have my final package ready yet — can I still use this?

Yes, start with the free rule extractor using just your solicitation.

How is this different from a proposal-writing or compliance-matrix tool?

Those tools help you build a proposal. ProposalQA doesn't write or edit content — it checks the exact files you're about to submit against the solicitation.

Do you have SOC 2?

Not currently.
