Terms of Service

These terms govern your use of ProposalQA (proposalqa.com). By creating an account or using the free solicitation rule extractor, you agree to these terms. If you are using ProposalQA on behalf of an organization, you represent that you have authority to bind that organization.

What ProposalQA Is

ProposalQA is a self-service quality-assurance tool for U.S. federal government proposals. It checks an uploaded final submission package against the solicitation and returns evidence-backed findings, and separately offers a free tool that extracts submission rules from a solicitation document.

ProposalQA is a quality-assurance aid, not a guarantee of compliance.

We never represent a result as "fully compliant," "guaranteed compliant," or "approved for submission." Findings may say things like "no blockers detected" or "needs review" — never that your submission is certain to satisfy the solicitation. Reviewing and finalizing your submission remains entirely your responsibility. ProposalQA is not a proposal-writing platform and does not draft, edit, or improve your proposal content.

Accounts and Eligibility

You must provide accurate information when creating an account and are responsible for safeguarding your login credentials and for all activity under your account.

Acceptable Use

  • Do not upload classified information, Controlled Unclassified Information (CUI), ITAR-controlled data, export-controlled information, or any material requiring a government compliance environment ProposalQA does not explicitly support.
  • Do not attempt to circumvent free-tier usage limits, rate limits, or other abuse controls.
  • Do not use ProposalQA to process documents you do not have the right to upload, or in a way that violates applicable law.
  • Do not attempt to disrupt, reverse-engineer, or gain unauthorized access to the service.

We may suspend or terminate access for violation of these terms, including known attempts to bypass usage limits.

Fees and Payment

Paid features are available either as a one-off, per-preflight purchase or as a recurring monthly subscription (current tiers and pricing are shown on our homepage). A preflight is consumed only by a successfully completed analysis of one final package — a failed system attempt or an automatic retry does not use one, and uploading a corrected package and running it again counts as a new preflight (see our pricing FAQ for detail). Subscriptions renew automatically each month until canceled and include a fixed number of preflights per billing period; unused preflights do not roll over or accumulate. Once a period's subscription preflights are used, you can still purchase a one-off preflight. You may cancel a subscription at any time from your account. Cancellation stops future billing but does not refund any part of the current billing period — you keep access through the end of the period you already paid for. Prices are shown before you complete a purchase or start a subscription. Payment processing is handled entirely by Stripe; we never receive or store your raw card details. Your Content

You retain all rights to the documents you upload. You grant us a limited license to process that content solely to provide the service to you (including sending relevant text to our LLM provider for analysis, as described in our Privacy Policy). We do not claim ownership of your proposal content and do not use it to train models.

Disclaimers

ProposalQA is provided "as is" and "as available," without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that findings are complete, error-free, or that using the service will result in a successful or compliant submission. You are solely responsible for reviewing your final submission against the actual solicitation before submitting it.

Limitation of Liability

To the maximum extent permitted by law, ProposalQA and its operators will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, or business opportunity — including damages arising from a missed, rejected, or non-compliant proposal submission — even if advised of the possibility of such damages. Our total liability for any claim relating to the service will not exceed the amount you paid us in the twelve months preceding the claim.

Termination

You may stop using ProposalQA and request account deletion at any time. We may suspend or terminate your access for violation of these terms or the Acceptable Use section above.

Governing Law

These terms are governed by the laws of the United States and the State of Missouri, without regard to conflict-of-law principles. ProposalQA is operated from Missouri and is not currently organized as a separate incorporated legal entity.

Changes to These Terms

We may update these terms as the product changes. We will update the "Last updated" date above when we do. Continued use after a change constitutes acceptance of the updated terms.
